Position Overview
We are seeking a detail‑oriented Intake Support Specialist to serve as the first point of contact for new matters and to keep our client‑service engine running smoothly. This full‑time, on‑site role is perfect for someone who enjoys variety, takes initiative, and brings a warm, solutions‑oriented attitude to each interaction.
- Schedule: Monday – Friday, 8:00 a.m. – 5:00 p.m. (40 hours/week)
- Location: Farmington Hills, MI (on‑site)
- Status: Non‑exempt, hourly
Key Responsibilities
- Intake Emails: Monitor and triage incoming intake emails, ensuring timely routing and follow‑up.
- Collection‑Related One‑Off Requests (CORQ): Process ad‑hoc collection inquiries and tasks with accuracy and urgency.
- Letter Creation & Mailing: Draft, proof, and mail letters using firm templates; maintain meticulous records of all correspondence.
- Email Letter Requests: Prepare and send requested letters via email, confirming delivery and documenting in the case‑management system.
- House Voice Mails: Retrieve and log voicemail messages; return or redirect calls as appropriate.
- Front‑Desk Coverage: Greet clients and visitors, answer multi‑line phones, and provide seamless front‑desk support when the receptionist is unavailable.
What You’ll Bring
- High school diploma or equivalent (associate’s degree or higher preferred).
- 1+ year of experience in a legal, collections, or high‑volume administrative environment.
- Strong written and verbal communication skills with a professional, courteous phone manner.
- Exceptional attention to detail and organizational skills; able to juggle multiple priorities.
- Proficiency with Microsoft Office (Word, Outlook, Excel) and comfort learning new software.
- Reliability, discretion, and a proactive mindset—when you see something that needs doing, you do it.
